Who we are
This website is run by Agentic Tech Solutions Ltd, trading as East Coast AI (“we”, “us”, “our”). We are the controller of the personal data described in this notice. You can contact us about anything in it at [email protected], by phone on +44 1206 237 444, or by post at 15 Regatta Key, Ipswich, IP4 1FH.
This notice covers people who visit eastcoastai.co.uk, get in touch with us, book a call or talk to us about a partnership or acquisition. Personal data we process on behalf of our clients as part of the services we provide to them is covered by our contract and data processing agreement with that client.
What we collect
- Details you give us when you fill in a form, email us, book a call or speak to us: your name, business name, email address, phone number and whatever you choose to tell us about your business.
- Calls to our number. Calls may be answered by one of our AI phone assistants. The call content and a transcript may be recorded so the right person can follow up and so we can check quality.
- Booking details you enter when scheduling a call, such as your name, email and chosen time.
- Business information shared during partnership or acquisition conversations, which may include information about you as an owner or director.
- Technical data such as your IP address, browser type and the pages you request. Our hosting and security providers process this automatically to deliver and protect the site.
How we use it and our lawful basis
- To reply to enquiries, arrange and hold calls, and send you information you ask for. Basis: our legitimate interest in responding to people who contact us, or taking steps at your request before entering into a contract.
- To provide services if you become a client. Basis: performance of a contract.
- To assess and discuss a potential partnership, investment or acquisition. Basis: legitimate interests, and steps before entering into a contract.
- To keep the website secure, prevent abuse and fix problems. Basis: legitimate interests.
- To meet legal, tax and accounting obligations. Basis: legal obligation.
We do not sell your personal data, and we do not use it for automated decisions that have legal or similarly significant effects on you.
Who we share it with
We use trusted suppliers to run the website and our business. They only process your data on our instructions:
- Cloudflare for website hosting, delivery, security and privacy-friendly visitor analytics.
- Google Fonts and unpkg, which deliver the fonts and code libraries the site uses. Your browser connects to them directly, so they receive your IP address.
- Koalendar to run the booking calendar on our home page.
- Our email hosting provider, and the providers behind our phone assistants and business systems.
- Professional advisers, such as accountants and lawyers, where needed, and authorities where the law requires it.
Some suppliers may process data outside the UK. Where that happens we rely on UK adequacy regulations or appropriate safeguards such as the UK International Data Transfer Agreement or Addendum.
Cookies and similar technologies
We do not use advertising or analytics cookies. We use Cloudflare Web Analytics to count page views and measure how quickly pages load. It does not use cookies, does not track you across other websites and does not build a profile of you, and we rely on our legitimate interest in understanding how the site is used. The site stores a small flag in your browser’s session storage so the intro animation only plays once per visit, and it is cleared when you close the tab. Cloudflare may set strictly necessary cookies for security. The embedded Koalendar booking calendar is provided by Koalendar and may set its own cookies. See their privacy policy for details.
How long we keep it
Enquiries and booking details that don’t lead to work are kept for up to 24 months, then deleted. Client records are kept for the length of the relationship and for up to six years afterwards to meet legal and accounting requirements. Call recordings and transcripts from enquiries are kept for up to 12 months unless they are needed for an ongoing matter.
Your rights
Under UK data protection law you have the right to access your personal data, to have it corrected or erased, to restrict or object to how we use it, and to data portability. Where we rely on consent, you can withdraw it at any time. To use any of these rights, email [email protected]. We will respond within one month.
If you are unhappy with how we handle your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
Security
We use appropriate technical and organisational measures to protect personal data, including encrypted connections, access controls and working with reputable suppliers.
Changes to this notice
We may update this notice from time to time. The date at the top shows when it was last changed.
